Kloze Partners LLC ("Kloze Partners," "Kloze," "we," "our," or "us") provides the Kloze software platform and related services for advisory firms and similar organizations. This Privacy Policy applies to our website, application, and related services that link to or reference this Privacy Policy.
This Privacy Policy describes how we collect, use, disclose, and retain personal information and other data in connection with Kloze. It also explains certain choices and rights that may be available under applicable law.
2. Who We Serve and How We Handle Customer Data
Kloze is a business-to-business platform designed for registered investment advisor teams and related organizations. In many cases, our customers use Kloze to upload or submit financial documents and related information for analysis and workflow support.
When we collect information directly from website visitors, prospects, and customer users for our own business purposes, we generally act as the business responsible for that information.
When a customer uploads, submits, or otherwise makes available client-related information, financial documents, or similar material through Kloze ("Customer Data"), we generally process that Customer Data on behalf of the customer organization. In those situations, the customer organization typically controls the purpose and means of processing, and Kloze generally acts as a service provider or processor.
If you are an end client of one of our customers and have questions about Customer Data submitted to Kloze on that customer's behalf, you should direct your request to the customer organization that collected the information from you.
3. Information We Collect
We may collect the following categories of information:
Information you provide directly
- Account, profile, and login information, such as name, business email address, password, job title, and organization details.
- Communications you send to us, including contact requests, sales inquiries, support requests, and security reports.
- Information you submit in forms, surveys, demos, or other interactions with Kloze.
Information collected through use of Kloze
- Customer-submitted files and document-derived information, including financial documents, document metadata, extracted information, and workflow outputs.
- Usage information relating to account activity, authentication events, feature access, configuration choices, and service interactions.
- Device, browser, network, and diagnostic information, such as IP address, browser type, operating system, referring URLs, timestamps, and error or performance telemetry.
Information from other sources
- Business and professional information received from customer organizations, referral sources, integration partners, or publicly available business sources.
- Information we receive from service providers or security tools in support of fraud prevention, access control, reliability, and account protection.
4. How We Use Information
We may use information we collect to:
- provide, host, secure, maintain, and support Kloze;
- create, manage, and administer accounts and authorized users;
- process uploaded files and generate document analysis, workflow outputs, and related service functionality;
- communicate with users and customer organizations about product updates, support issues, operational notices, and account matters;
- monitor, troubleshoot, improve, and protect Kloze, including through testing, analytics, service diagnostics, and security review;
- investigate misuse, suspected fraud, security events, and violations of our terms or policies;
- comply with legal, regulatory, audit, and records-retention obligations; and
- send limited business communications about Kloze where permitted by law.
5. AI and Model Use
Kloze may use automated processing, analytics, and AI-assisted functionality as part of delivering the service. Customer Data is not used to train models.
Any AI-assisted or automated processing we perform in connection with Kloze is used to provide service functionality, support customer workflows, improve reliability, and maintain product quality. We do not use Customer Data to build public or shared model training datasets.
6. Cookies, Telemetry, and Automated Collection
We and our service providers may automatically collect certain information through cookies, local storage, log files, and similar technologies.
We use these technologies for purposes such as:
- authentication and session management;
- security and abuse prevention;
- remembering preferences and service settings;
- measuring performance, reliability, and operational health; and
- understanding how business users interact with Kloze so we can improve the service.
On our public marketing site, we use Microsoft Clarity, a behavioral analytics service, to collect site-usage and online activity information such as page interaction patterns, heatmap-style engagement signals, session replay data, and related performance diagnostics. Clarity uses first-party and third-party cookies and similar tracking technologies to support this collection.
We use this Clarity data to improve website usability, optimize user journeys, monitor performance and reliability, and help detect fraud or misuse signals on public-facing pages. We scope this analytics tooling to marketing pages and do not deploy it by default in authenticated app or auth workflows.

We also use Google Analytics on public marketing pages to measure traffic patterns, engagement, and acquisition sources. Google Analytics may use first-party and third-party cookies and similar technologies to collect usage signals on those pages. We do not deploy Google Analytics by default in authenticated app or auth workflows.

Most browsers allow you to control cookies through browser settings. If you disable certain cookies or storage technologies, parts of Kloze may not function correctly.
7. How We Share Information
We may disclose information in the following circumstances:
- to hosting, infrastructure, storage, processing, analytics, security, support, and professional-service providers that assist us in operating Kloze;
- to auditors, legal advisers, insurers, and similar professional advisers as necessary for business, security, or compliance purposes;
- to a customer organization, where appropriate, in connection with account administration, support, security, or service delivery;
- to law enforcement, regulators, courts, or other governmental authorities when required by law or legal process, or when we believe disclosure is necessary to protect rights, safety, or security;
- in connection with a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar corporate transaction; and
- with your direction or consent, where applicable.
Except where specifically disclosed in this Privacy Policy, we do not publicly identify our service providers.
8. Security
We maintain administrative, technical, and physical safeguards designed to protect information handled through Kloze. These safeguards include measures related to encryption in transit and at rest, access controls, auditability, and secure infrastructure.
Kloze has completed a SOC 2® Type I examination for controls relevant to security. No method of transmission, storage, or processing is completely secure, and we cannot guarantee absolute security.
9. Data Retention
We retain information for as long as reasonably necessary to provide Kloze, support our customer relationships, comply with legal and regulatory obligations, resolve disputes, enforce agreements, and protect the security and integrity of the service.
Retention periods may differ depending on the type of information, the nature of the customer relationship, applicable legal requirements, and operational or security needs.
10. Your Rights and Choices
Depending on applicable law, you may have the right to request access to, correction of, deletion of, or information about certain personal information that we maintain about you. You may also have the right to ask us to limit certain processing activities or to appeal a privacy decision, where required by law.
If your request relates to Customer Data that a customer organization submitted to Kloze, we may direct you to that customer organization because it typically controls the relevant data-processing decisions.
You may also opt out of certain marketing communications by using the unsubscribe mechanism included in those communications or by contacting us.
11. California Privacy Disclosures
If you are a California resident, you may have rights under California law to know about personal information we collect, use, disclose, or retain about you, and to request access, correction, or deletion, subject to exceptions. You may also have the right to request information about categories of information disclosed for business purposes.
We will not discriminate against you for exercising rights provided by applicable privacy law.
12. International Data Handling
Kloze is designed for business use and may process information in jurisdictions other than the place where the information was originally collected. When we do so, we take steps designed to protect the information in accordance with applicable law and this Privacy Policy.
13. Children's Privacy
Kloze is intended for business use and is not directed to children. We do not knowingly collect personal information directly from children through Kloze.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we may provide notice through Kloze, our website, or by other appropriate means. The "Last updated" date above reflects the effective date of the current version.
